1. About this policy

Static Computers is a managed IT services provider based in Sydney, NSW. This policy explains what personal information we collect, how we use and protect it, and how you can access, correct or complain about it.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we follow the Spam Act 2003 (Cth) when we send marketing emails.

2. What we collect

Depending on how you deal with us, we may collect:

  • your name, job title, business name, email address, phone number and postal address;
  • billing and payment details (card payments are handled by our payment provider — we don’t store full card numbers);
  • technical information about the devices, systems and networks we support, including logs, monitoring data and the contents of support tickets;
  • website information such as your IP address, browser and device type, and cookie data; and
  • your marketing preferences and how you interact with our emails.

We don’t usually collect sensitive information (such as health information). If we ever need to, we’ll ask for your consent first.

3. How we collect it

We collect information directly from you — when you contact us, request a quote, sign up, use our services or log a support ticket. We also collect it automatically through cookies and monitoring tools, and sometimes from public sources such as business directories and professional networking sites when we reach out to businesses that may benefit from our services.

4. Why we collect it

We use personal information to deliver, support and secure the IT services you’ve engaged us for; to quote, onboard, bill and communicate with you; to send marketing where you’ve agreed to it; to improve our services; and to meet our legal obligations.

If we want to use your information for a different purpose, we’ll ask for your consent unless the law allows it.

We don’t use automated decision-making that significantly affects individuals without a person involved. If that changes, we’ll update this policy.

5. Marketing and case studies

With your consent, we may email you about our services, offers and updates. Every marketing email identifies us as the sender and includes an unsubscribe link. You can opt out at any time using that link or by emailing us — we’ll action it within five business days.

We only use a client’s name, logo, quote or project details in case studies, testimonials or proposals with their prior agreement, and you can withdraw that agreement for future material at any time.

We don’t sell or rent your personal information.

6. Who we share it with

We share personal information only where we need to, with:

  • service providers who help us run the business — cloud and hosting providers, software and security vendors, email and marketing platforms, ticketing and CRM systems, and payment processors;
  • professional advisers such as our accountants and lawyers;
  • government or law enforcement bodies, where the law requires or allows it; and
  • a purchaser, if we sell or restructure the business.

Some of these providers store or process information overseas, including in the United States and the European Union. Before we disclose information overseas, we take reasonable steps to make sure it’s handled consistently with the Australian Privacy Principles.

7. Information we handle for our clients

When we deliver managed IT services, we may access personal information held inside our clients’ systems — about their staff or customers. In that case we act on the client’s instructions and under our agreement with them. The client remains responsible for that information; we keep it confidential, use it only to deliver the agreed services, and never use it for our own marketing.

If your information is held by a business that uses Static Computers, please contact that business directly — they’re best placed to help you.

8. Security, retention and data breaches

We take reasonable steps to protect personal information using access controls, multi-factor authentication, encryption where appropriate, endpoint and network security, monitoring, and staff confidentiality obligations. No system is completely secure, so we can’t guarantee absolute security.

We keep personal information only as long as we need it, or as long as the law requires. After that we destroy or de-identify it.

If we have a data breach that’s likely to cause serious harm, we’ll notify the affected people and the Office of the Australian Information Commissioner (OAIC), as required by the Notifiable Data Breaches scheme.

9. Cookies

Our website uses cookies to make the site work, remember your preferences and understand how it’s used. You can refuse or delete cookies in your browser settings, though some parts of the site may not work properly if you do.

10. Access, correction and complaints

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it’s wrong or out of date. We may need to verify your identity first, and we’ll normally respond within 30 days. There’s usually no charge.

We may update this policy from time to time. The current version is always on our website, with the effective date at the top.
